This appendix is the style reference. It contains:


Paragraph style reference

The paragraph styles, in alphabetical order, are:

Bullet 1
Bulleted (round solid bullet, followed by tab) at 0.25-inch with tab stop and subsequent lines at 0.50-inch; like Normal otherwise. Auto-numbering uses the bullet. There is 3-pt white space both above and below the Bullet 1 paragraph.

Bullet 1 Para
Like Bullet 1 but with left margin at 0.50-inch indent point. There is 3-pt white space both above and below the Bullet 1 Para paragraph.

Bullet 2
Bulleted (en dash, followed by tab) at 0.75-inch with tab stop and subsequent lines at 1.00-inch; like Normal otherwise. Auto-numbering uses the bullet (en dash). There is 3-pt white space both above and below the Bullet 2 paragraph.

Bullet 2 Para
Like Bullet 2 but with left margin at 1.00-inch indent point. There is 3-pt white space both above and below the Bullet 2 Para paragraph.

Bullet 3
Bulleted (diamond, followed by tab) at 1.25-inch with tab stop and subsequent lines at 1.50-inch; like Normal otherwise. If you cannot use a diamond you may use an asterisk ("*"). Auto-numbering uses the bullet (diamond or asterisk). There is 2-pt white space both above and below the Bullet 3 paragraph.

Bullet 3 Para
Like Bullet 3 but with left margin at 1.50-inch indent point. There is 2-pt white space both above and below the Bullet 3 Para paragraph.

Definition
Tab stop and subsequent lines at 1.50-inch; like Normal otherwise.

FigureTitle
"Figure f" and an em space in Times New Roman 11-pt bold (auto-numbered); for captions. In presentations, use 24-pt instead.

Footnote
Times New Roman 10-pt; numeric reference (1, 2, 3) should be superscripted.

FootnoteTable
Times New Roman 10-pt; alphabetic reference (a, b, c) should be superscripted.

Heading 1
Arial Black 14-pt with 2-pt rule above, flush left; 14-pt space above and 14-pt space below. If numbered, uses the section number (s.1) and an em space to the left of the heading text. Presentations use 28-pt Times New Roman and no rule.

Heading 2
Arial Black 12-pt with 1-pt rule above, left align with Normal; 12-pt space above and 12-pt space below. If numbered, uses the section number (s.t.1) and an em space to the left of the heading text. Presentations use 24-pt Times New Roman and no rule.

Heading 3
Arial Black 11-pt with no rule, left align with Normal; 3-pt space above, 8-pt space below. If numbered, uses the section number (s.t.u.1) and an em space to the left of the heading text.

Heading 4
Times New Roman 11-pt bold, no rule, left align with Normal; 3-pt space above, 8-pt space below. Must be numbered with the section number (s.t.u.v.1) and an em space to the left of the heading text. Discouraged from use.

Normal
Times New Roman 11-pt; 3-pt space above and 6-pt space below; at 1 inch indented from left margin. In presentations, use Arial 24-pt instead.

Note/Caution
Used for restrictions. The text is Arial Black 11-pt, 1.75-inch indented, with the notification block out-dented to the left margin.

The "symbol" is Note (with horizontal bars above and below totaling 1.5 inches long), Caution (in a box), or Warning (white in a black box); the symbol is in 14-pt Arial Black. Refer to Chapter 8, "Restrictions and legal issues," for examples.

The white space is 5-pt before the Note/Caution and 6-pt after.

NumLetter
Auto-numbered (letters: a, b, c), restart at 1, at 0.75-inch with tab stop and subsequent lines at 1.00-inch; like Normal otherwise

NumLetter+
As NumLetter but continuing numbering. Omitted in Microsoft Word.

NumLine
Auto-numbered (Arabic numeral), restart at 1, at 0.25-inch with tab stop and subsequent lines at 0.50-inch; like Normal otherwise.

NumLine+
As NumLine but continuing numbering. Omitted in Microsoft Word.

NumRoman
Auto-numbered (lowercase Roman numerals), restart at 1, at 1.25-inch with tab stop and subsequent lines at 1.50-inch; like Normal otherwise.

NumRoman+
As NumRoman but continuing numbering. Omitted in Microsoft Word.

NumStep
Auto-numbered "Step s" and a tab in Arial 11-pt bold to the left of the left paragraph margin (that is, in the white-space to the left); restart numbering at 1; left-out-dented 0.50-inch.

NumStep+
As NumStep but continuing numbering. Omitted in Microsoft Word.

NumApp
"Appendix" in Arial Black 18-pt, above the letter in white (Arial Black 98-pt), in a 50% gray 1.625 inch tall by 1.375 inch wide box in the upper right corner of the title page; next paragraph tag is TitleApp; only present in appendices.

NumChp
"Chapter" in Arial Black 18-pt, above the number in white (Arial Black 98-pt), in a 50% gray 1.625 inch tall by 1.375 inch wide box in the upper right corner of the title page; next paragraph tag is TitleChp; only present in chapters.

NumSec
"Section" in Arial Black 18-pt, above the number in white (Arial Black 98-pt), in a 50% gray 1.625 inch tall by 1.375 inch wide box in the upper right corner of the title page; next paragraph tag is TitleSec; only present in documents with no chapters.

TableHead
Arial Black 11-pt, aligned left.

TableItem
Times New Roman 11-pt; typically 6-pt above, 4-pt left, 4-pt bottom, and 4-pt right cell margins.

TableTitle
"Table t" and an em space in Times New Roman 11-pt bold (auto-numbered); for captions. Use Arial 24-pt in presentations.

TitleApp
Arial Black 22-pt with gray pen, embossed, flush left; next paragraph tag is Normal; only present in appendices. Preceded by NumApp.

Arial Black 22-pt with gray pen, embossed, flush left; next paragraph tag is Normal; consists of a special title that does not appear in the table of contents (usually one of Contents, Figures, or Tables).

Character styles

The character styles are:

Bold
Boldface, used for emphasis.

Italics
Italics, used for new terms, variables, and document titles. Should only be used with Times New Roman (text) and Arial Black (headings and titles), never with Courier (commands).

KeyCap
Key caps, used for exact keys (such as Esc or Ctrl-m). Arial Black 8-pt.

Mono
Courier, used for command output. You should consider reducing the point size by one (so use Courier 10 instead of Times New Roman 11).

MonoBold
Courier bold, used for command input. You should consider reducing the point size by one (so use Courier 10 instead of Times New Roman 11).

Superscript
Superscripted, font size reduced 1 point from default; generally only used for footnote references.

Subscript
Subscripted, font size reduced 1 point from default; generally only used in specific cases (such as chemicals, like "H2O," and naming sequences, as in "host1, host2, ..., hostn").


Other styles

Some of the other style information is:

Table rulings
1-pt border, column, and row separators; double-rule between header and body cells; header should be shaded (30% gray for main head and 10% gray for subhead).

Table cell margins
6-pt top, 4-pt bottom, 4-pt left, 4-pt right.

Color palette
The color palette used throughout any figures or illustrations must match that of the Marketing department. The current primary color schemes are blue (PMS 288 CVC) and yellow (PMS 124 CVC)

Parallelism
Always write items in parallel. If you have three bullet items named Changing, Adding, and Deleting, those are in parallel.

Always two, never one
There should always be two (2) or more elements at any given level. This includes the document hierarchy (never have a section 1.1 without a 1.2, never have a section 1.2.3.1 without a section 1.2.3.2, and so on), the heading level (never only one Heading 2 or only one Heading 3), and bullet items (never have only one item in a bullet list or numbered list, regardless of the indent level (1, 2, or 3)).

Task oriented concept mapping

Whenever possible, discuss the task to be performed ("adding users," "auditing networks," and so on). This helps the reader find information and see how it can be used to accomplish a task or a goal.
